Introduction (Revised 7/1/2005) Materials represented in the Seton Hall University archival holdings catalogs have been broken down into various record groups and a specialized classification according to the subject area each represents. At the present time, this collection encompasses approximately 1300 cubic feet of documentary material and is growing at a steady rate. Within this classification system, the main number denotes primary record group (ex: SHU-1), the secondary number shows the specific topic (ex: SHU-1.1), and the subject title (ex: “University Charter”) is self-explanatory. Although not shown here, in some cases the suffix "A" (ex: SHU-1.1/A) is used. This denotes a non-traditional, or "artificial" collection created from materials that were accumulated by the Special Collections & Archives Center individually (i.e: flyers, brochures, memoranda, etc.) which arrived piecemeal instead of as part of a singular collection and are incorporated in accordance with their corresponding subject heading. In addition, diverse format types such as: Photographs; Audio/Visual; Artifacts, Ephemera, Objects and Ledger Books – Early College/University Governance (1856-1956) and Doctoral Dissertations & Master’s Theses differ from the traditional manuscript-based materials which are often associated with an archive and have been given their own distinctive classification number/letter (ex: SHU-A) as a result. When it comes to all other collections, provenance has remained consistent in accordance with the office of origin. Since this collection is not static, more record group entries will be added as new offices and/or special circumstances dictate. The depth and breadth of each record group varies, and not all record groups are physically represented at the present time (contact the archivist below for precise details concerning actual holdings). Each entry is shown as a representation of individual entities within the collection as a whole, while those outlined in blue offer expanded and detailed information pertaining to that particular sub-collection anywhere from an overall description to an item-level inventory. The average size of each sub-collection is between 5-10 cubic feet, but some such as the President, Provost, Academic Vice-President and various Academic Deans for example are more prolific, and constitute 10-15+ cubic feet worth of report space apiece. The amount of information available depends upon the generosity and the volume of non-current record data sent by each individual donor. Some of the record groups dealing with administrative office files are subject to limited, or restricted usage altogether. We generally use the 50-75 year rule for review by external parties and even then under extreme care and prudence. The age and sensitivity of the material in question determines availability.
