Webmail

After discussions with the email administration team in IT and some testing, we've found a quicker way to directly access your Office 365 webmail outside of the Outlook client (locally installed on your PC).

If you go to (https://outlook.office365.com/owa/shu.edu), you can sign directly into your Office 365 webmail:

Accessing Shared Mailboxes via Webmail

(e.g., circulation@shu.edulibtimeoff@shu.eduarchives@shu.eduwalshgallery@shu.eduinterlib@shu.edulibrary@shu.educopyright@shu.eduerepository@shu.edu)

Method 1: Access via a direct URL

Add the email address for the shared mailbox to the end of this URL (where "XXXX" stands for the shared mailbox address):

https://outlook.office365.com/owa/XXXX

Method 2: Access via your own Office 365 Mailbox

Once you are signed in to your own webmail (following my instructions above, in the "Webmail" box, or via PirateNet/Okta sign-on), you can click on the person icon (or your picture, if you uploaded one) to bring up a list of options. Choose, “Open another mailbox…”.

Then, enter the name of the mailbox you are a part of. It may automatically populate in a drop-down field. If not, type the full address (e.g., library@shu.edu). Then, you can click on the mailbox to select it, and click the “Open” button.

Once you have done this, a new tab will open in your web browser with the shared mailbox. You should still have a tab open for your own mailbox as well.

All of this said, you can still use the local Outlook client to access your SHU email and shared mailboxes. Continue to enter tickets for email issues or requests to add shared mailboxes to your local Outlook client vs. webmail if you would prefer to.

Modifying the Access Control List for Shared Mailboxes

  • Go to the Address Book in Outlook under the Home tab.

  • Search for the account you want to modify (in this case, "reference") and open the listing for reference_acl, not reference (ACL stands for access control list)

  • Choose to "Modify Members"

  • Choose to "Add..." and then it will allow you to do an Address Book search for any individuals you would like to add for access to the group. Click OK, then OK, and OK again to apply changes to the group
